Jack Henry & Associates is currently looking for a Marketing Administrative Coordinator to join our award-winning Marketing team in our Charlotte office. 

As a Marketing Administrative Coordinator, you will report to the Senior Director of Marketing for Jack Henry & Associates. In addition to general administrative duties for the Marketing Leadership Team, you will be responsible for supporting them with special projects on both a regular and ad hoc basis. This is a highly collaborative position that will interact with marketing administration, creative services, brand, corporate communications, events, and planning and operations.  The role is a great way to enter Marketing and learn all the areas of Marketing. There is great growth potential in this role.  

To be successful in this role, you will need to have a passion for Marketing, strong administrative background with excellent communication skills and an aptitude for online tools. PowerPoint skills will be a major plus.    


MINIMUM QUALIFICATIONS:

 

  • Minimum of 1 year of experience in an administrative or marketing business support role.
  • Microsoft Office Experience (PowerPoint, Excel, Word).

PREFERRED QUALIFICATIONS:

  • Bachelor’s Degree in Marketing or similar field. 
  • Able to handle confidential information and maintain confidentiality at all times.
  • Able to pay very close attention to detail and handle multiple tasks.
  • Strong communication and interpersonal skills.
  • Works on moderately complex and diverse projects.  Exercises good judgment in selecting methods and techniques for obtaining solutions.
  • Strong written and verbal communication, customer relationship, and project management skills.   
  • Proactive mindset with critical thinking skills to set, evaluate, and adjust priorities.
  • Exceptional attention to detail.
  • Strong knowledge of company policies, procedures, and functions.
  • Strong knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).

ESSENTIAL FUNCTIONS:

  • Provides department leader with administrative support, including but not limited to: coordinating schedules and appointments, drafting documents, and establishing agendas.
  • Manages annual Marketing in-departments events.
  • Writes, edits, and proofreads inter-department communications, interoffice and departmental handouts, letters, articles, and various types of correspondence.
  • Actively manages correspondence via company website (Ask JHA) and works throughout the company to get questions answered.
  • Analyzes unit operating practices, such as record keeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to revise established procedures.
  • Actively Manages inter-department annual calendar and communications.
  • Participates in the Charlotte-Office connection committee.
  • Handles confidential material relevant to company operations.
  • Conducts special analytical projects to assist professionals within the department.
  • Arranges use of conference rooms and use of outside facilities.
  • Collaborates with various staff and departments to complete special projects.
  • Studies management methods in order to improve workflow, simplify reporting procedures, or implement cost reductions.
  • Promotes a positive atmosphere and work environment in the department.
  • Perform special projects or other duties as assigned.
  • May be required to handle and ship small items via UPS, USPS, or other means.
  • Leads volunteerism activities for the department.
  • Represents Marketing on the on the Corporate Leadership Administrative team.
