Jack Henry & Associates seeking a driven, motivated, and dedicated professional to join our administrative support team as an Administrative Assistant II for the Louisville, KY office. This team focuses on supporting executive leadership, department leads and associates in daily tasks that ensure the office runs smoothly.  This person will be the contact person for all Louisville office functions. 

The Administrative Assistant is essential to the success of the office. The Administrative Assistant will be responsible for assisting with organizing meetings, employee fun events, client meetings, processing invoices for payment, preparing letters and correspondence, travel reservations, and ordering office supplies.  There may be other special projects, presentations and duties assigned.

Ideal candidates must have strong communication and interpersonal skills, proficient in Microsoft office Outlook, Word and Excel, and have a passion for customer service.  Jack Henry provides strong opportunity for career progression across the organization.

This position will be based at the following office location: Louisville, KY

MINIMUM QUALIFICATIONS

  • Minimum of 18 months experience providing administrative support. 
PREFERRED QUALIFICATIONS

  • Associate’s degree.
  • Experience with Microsoft Office products such as Outlook, Word and Excel. 

ESSENTIAL FUNCTIONS

  • Provides department with administrative support, including but not limited to: coordinating schedules and appointments, organizing travel arrangements, drafting documents, creating badges and establishing agendas.
  • Analyzes unit operating practices, such as record keeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to revise established procedures.
  • Handles confidential material relevant to company operations.
  • Reviews and answers correspondence.
  • Conducts special analytical projects to assist professionals within the department.
  • Arranges use of conference rooms and use of outside facilities.
  • Collaborates with various staff and departments to complete special projects.
  • Studies management methods to improve workflow, simplify reporting procedures, or implement cost reductions.
  • Performs word processing duties.
  • Promotes a positive atmosphere and work environment in the department.
  • May be required to handle and ship small items via UPS, USPS, or other means.
