We are currently looking for an experienced Administrative Assistant to work ONSITE at our Louisville KY office. This position requires one to be driven, motivated, and agile. This administrative support team is focused on supporting executive leadership, department leads, and associates in daily tasks that ensure the office runs smoothly. In this position, you will serve as the point of contact for all the Louisville office functions. You will be an essential component to the success of the entire office. You will organize department as well as client meetings, process invoices for payments, prepare written correspondence, and travel accommodations for leadership. There will be other special projects that you work on such as presentations, employee fun events, and other cross-functional responsibilities. This position provides an excellent opportunity for career progression across Jack Henry.

What you’ll be responsible for:

  • Provides the department with administrative support, including but not limited to coordinating schedules and appointments, organizing travel arrangements, drafting documents, and establishing agendas for meetings. 
  • Analyzes unit operating practices, such as record-keeping systems, forms control, office layout, suggestion systems, personnel, and budgetary requirements, and performance standards to revise established procedures.
  • Handles confidential material relevant to company operations.
  • Reviews and answers correspondence.
  • Conducts special analytical projects to assist professionals within the department.
  • Arranges use of conference rooms and use of outside facilities.
  • Collaborates with various staff and departments to complete special projects.
  • Studies management methods to improve workflow, simplify reporting procedures, or implement cost reductions.
  • Performs word processing duties.
  • Promotes a positive atmosphere and work environment in the department.    
  • May be required to handle and ship small items via UPS, USPS, or other means.
  • Will assist other departments with daily tasks as assigned. 
  • May perform other job duties as assigned. 

What you’ll need to have:

  • Minimum 18 months of experience providing administrative support in a professional office setting.
  • Strong communication skills and interpersonal skills.
